Business Problem:
Data Export today works at the account level and returns a CSV that splits messages into separate "incoming" and "outgoing" columns, breaking the chronological order of the conversation. Exports are also paginated at 100 messages, and media files aren't linked. There is no way for an authorised user to pull the complete, readable history of a single contact from the conversation view.
Teams that need a full record of one contact — for internal investigations, judicial or audit evidence, quality reviews, or customer history checks — have to export a much larger dataset, manually reorder it, and retrieve media separately. One institutional customer needed a single contact's history for a court case and spent hours stitching CSV exports together, with real risk of human error.
Desired Outcome:
Allow Owners and Managers (users with Data Export permission) to export the full conversation history of an individual contact as a PDF, directly from the conversation.

I would like to share a specific situation we recently faced with a customer, to illustrate the importance of enabling the option to export entire individual conversations within Respond.io.
An institutional client asked us to deliver the full conversation held with a specific person as part of a judicial test case, where it was necessary to present the evidence as shown in WhatsApp Business.
On WhatsApp, this process is simple: you can open a contact's chat, select “Export chat” and the system generates a ZIP file with:
- A text file (_chat.txt) with the entire conversation ordered by date, time and sender.
- All attachments (photos, documents, audios, PDFs, etc.) in the same folder.
This format makes it possible to provide a complete, legible and valid support as evidence. In our case, the generated ZIP contained both the textual history and the attachments, ready to be delivered to the customer or even to a court.
On the other hand, in Respond.io we find important limitations:
- The export generates a CSV that separates messages between “incoming” and “outgoing”, breaking the real order.
- It is limited to 100 messages per page, which requires exporting multiple files (more than 50 pages in our case).
- Media files are not linked to or included in the export.
This forced us to manually download and combine the records, reorder and format them, implying hours of work and risk of error.
Therefore, we suggest that Respond.io adopt an improvement similar to WhatsApp Business, allowing:
- Select a specific contact or conversation.
- Export a ZIP with the complete chat in .txt or .pdf format (chronological, with date and sender).
- Include associated attachments.
- Maintain the visual and contextual format of the original chat.
This improvement would be key not only for legal purposes, but also for audits, quality control, technical support and training, where it is necessary to analyze real conversations with their full context.
WhatsApp Business already offers this functionality; Respond.io should have an equivalent option to support specific conversations without losing structure or context, thus improving traceability and professional documentation of cases.
